Company Uniform Quotation: How to Read and Compare It Fairly

What should a company uniform quotation include? How to read fabric, measuring, alterations, timing and warranty lines, and the cheap-price traps to avoid.

Measuring a company employee's waist while a staff member notes the figure: the individual measuring step before a company uniform quotation is drawn up

Two quotations sit side by side on the desk. The first is a single page, and its bottom line is clearly lower. The second runs to three pages, itemising fabric, measuring sessions and alterations line by line, and its bottom line is higher. Which would the person in HR choose? Many choose the first, only to learn a few months later that the “short” quotation left out things the long one had already priced in. Knowing how to read a company uniform quotation properly is an essential skill for anyone responsible for outfitting a team.

Quick answer

A trustworthy quotation for suit uniforms should spell out five groups: fabric (name, composition, mill), the number of measuring sessions and how measuring is done, the number of alterations, delivery timing at each milestone, and warranty. Two quotations can be compared only once they are brought to the same conditions, because the lower price is usually missing one group.

What lines should a complete company uniform quotation include?

Here are the lines a quotation should have, with a question you can ask to check each one:

Line in the quotation What must be stated Question to ask
Fabric Fabric name, composition (% wool, % synthetic), mill, colour Is there a real fabric sample to approve? Will the approved fabric be the one delivered?
Style and quantity Jacket, waistcoat, trousers, skirt; number of men's sets, number of women's sets Does the quotation separate men and women? Does it distinguish by job title?
Measuring session Number of sessions, location, individual measuring or by size Is measuring done at the company, or must staff go to the shop? Is there a measurement sheet for each person?
Fittings and alterations Number of fittings, free alterations Are alterations after delivery charged?
Timing Measuring, fitting and handover milestones What happens if delivery runs late?
Warranty Duration, scope, long-term alterations Will new hires who join later get additional sets in the same fabric at the same price?
Extra charges Logo embroidery, special sizes, VAT, shipping Are there any charges outside the quotation?

How to compare two quotations fairly

The two bottom lines can be compared only under the same conditions. You can do it in three steps:

  1. Bring them to the same fabric. If one side writes “premium fabric” while the other states the composition, ask the vaguer one to state its fabric the same way before you compare prices.
  2. Bring them to the same scope. Add to the cheaper quotation the items the other has already priced in: individual measuring, fittings, alterations, warranty.
  3. Bring them to the same cost over the period of use. A set that costs more but wears well for years usually saves more than a set that has to be replaced after one year.

The article suit uniforms for companies: measuring each person and managing additional orders describes the practical steps, so you can check them against each line in the table above.

The traps of “cheap company uniforms”

A low price is not a fault in itself. The fault is that a low price usually comes from cutting a link in the chain that few people notice. The six traps you will meet most often:

  1. Vague fabric. “Premium fabric” or “imported fabric” with no composition is a sign you should ask again.
  2. Generic sizing. Delivery in sizes S, M and L instead of measuring each person; the result is loose in the shoulders and tight across the chest.
  3. No fitting. The goods are handed over and that is that; whoever fits, fits, and whoever does not has to manage alone.
  4. Extra charges that arrive later. Logo embroidery, large sizes and shipping are charged after you have signed.
  5. Delivered fabric that differs from the sample. The sample looks good, but the bulk fabric has a different colour and thickness. Ask to keep a signed, confirmed fabric sample for comparison.
  6. A vague warranty. It does not say how long alterations are covered, or how additional sets for new hires are handled.

What does the price of a company uniform depend on?

The cost per set is influenced by six factors: the fabric, the style of tailoring (with or without a waistcoat), the quantity, accessories or logo embroidery, the complexity of the body shapes, and the warranty terms. Mon Amie takes only suits and premium uniforms, measured person by person; the made-to-measure price list for a complete jacket and trousers, published on the price list page, is the reference level:

  • Essential: VND 4.8 – 10 million, Kevinlli fabric 40–70% wool.
  • Signature: VND 10 – 20 million, 80–100% wool fabrics and mills such as Dolce & Taylor, Luciano, Salford and Vercelli.
  • Heritage: above VND 20 million, from mills including Canonico, Holland Sherry, Dormeuil and Scabal.

For corporate uniforms, you should ask for a separate written quotation that states each line as in the table above, so it can be compared with other suppliers.

Tailoring women's suit uniforms: notes for the quotation

Women's suit uniforms are structured differently from men's: waist darts, sleeve length, straight-leg trousers or a pencil skirt, and sometimes a shirt or a collared top as well. So when having women's suit uniforms made, ask for a separate quotation: the number of women's sets, trousers or skirt style, lining, and the number of fittings. If the company has both men and women, choose the same fabric, the same colour and the same lapel style so the overall look is coordinated.

Common mistakes and tips from Mon Amie's master tailor

  • Looking only at the total. Look at each line; a low total that is missing lines is low only for the moment.
  • Approving fabric from photos. Look at the real fabric under office lighting.
  • Not asking about additional orders. A business always has new hires; ask beforehand whether the other side keeps the measurements.
  • Setting the timeline too tight. Uniforms need a measuring session, making and fitting; the real time depends on the number of people.
  • The master tailor's tip: ask for a trial measuring of two or three people who represent different body types before finalising. A serious tailor will agree, and you will see the real quality.

Frequently asked questions

What costs does a company uniform quotation include?

Fabric, tailoring labour, measuring sessions, fittings and alterations, accessories or logo embroidery, shipping and warranty. A good quotation separates each item so you can check it yourself.

What is a reasonable price for company uniforms?

There is no single figure for every company, because it depends on the fabric and the style. Mon Amie's reference levels for a complete jacket and trousers are VND 4.8 – 10 million at Essential, VND 10 – 20 million at Signature and above VND 20 million at Heritage.

Should women's suit uniforms have a separate quotation?

They should. Women's suits differ in structure, trousers or skirt, and lining, so itemising them separately makes comparison easier and avoids extra charges.

Are cheap company uniforms worth choosing?

Only if the quotation still states the fabric with its composition, measures each person, includes a fitting and gives a warranty. If the price is low because those items were dropped, the uniforms will wear out quickly and cost more to repair.
